Junior Paralegal

Location: Newport Beach, California

Katzen is a highly respected boutique law firm in Newport Beach practicing exclusively in Estate Planning, Special Needs Planning, Trust Administration, Probate, Conservatorships, and Settlement Planning. We are seeking a Junior Paralegal who is dependable, organized, and eager to learn. The right person takes ownership of their work, communicates well with clients and coworkers, enjoys working in a collaborative environment, and takes pride in delivering an exceptional client experience.

Responsibilities

  • Assist with special needs, estate planning, trust administration, probate, and conservatorship cases
  • Prepare court hearing and client files, initial drafts of pleadings, and other court documents
  • Communicate with clients, courts, financial advisors, trustees, law firms, and other personnel
  • File documents with the court, mail-serving documents, and scheduling court appearances
  • Assist with client meetings, including Estate Planning signing meetings
  • Maintain and monitor case progress, deadlines, and important timeframes/milestones
  • Document information in the law firm's practice management system
  • Support the office with answering phones, special projects, and general administrative duties, as needed

Qualifications

  • Minimum of six (6) months of experience in a law firm.
  • Paralegal Certificate or qualification under California Business & Professions Code §6450.
  • Strong follow-through, accountability, and time management.
  • Ability to prioritize multiple deadlines in a fast-paced environment.
  • Outstanding organizational skills and attention to detail.
  • Excellent written and verbal communication skills.
  • Professional, positive, compassionate attitude.
  • Proficiency in Microsoft Word and Excel; Actionstep experience is a plus.
  • Reliable commute to Newport Beach.

Legal Administrative Assistant - Receptionist

Description

Do you want to work at a law firm where your work really matters?  We are a Trust, Estates, and Special Needs law firm seeking a Legal Administrative Assistant/Receptionist who is looking for a career position where he/she can grow with a firm, be challenged, and work in a familial and collaborative environment. In this role, you will be the first point of contact for our clients, handling essential administrative tasks to support attorneys and staff, provide top-notch customer service, and ensure client satisfaction. We need an individual who is a team player and brings energy, positivity, and a “can-do” attitude to work every day. Please note that this is a full-time, in-office position.

Responsibilities

  • Answer phones, welcome clients, and set up conference room for meetings
  • Schedule and confirm appointments
  • Document and update client statuses, appointments, and phone calls in the firm's practice management system
  • Communicate with potential and existing clients by phone, in person, and by email
  • Prepare and maintain paper and electronic case files
  • Assist with preparing estate planning binders
  • Assist with client meetings
  • Receive and process daily mail
  • Copy, scan, file, and assist with office supply organization
  • Maintain front office area, conference room, and other common areas
  • Assist team members when they need a hand

Qualifications

  • Associate Degree required, but Bachelor's Degree highly preferred
  • Minimum of 6 months of experience working in a law firm environment
  • Detail-oriented and can work independently and take initiative
  • Strong administrative skills and customer service background
  • Computer savvy and comfortable working with various computer programs, databases, and systems including proficiency in Microsoft Word and Excel (knowledge of Actionstep is a plus!)
  • Positive, high-energy team player who is results-oriented
  • Reliable commute or will relocate prior to starting position

Compensation

$19 - $25 hourly, DOE
