The Law Office of Susan A. Our law firm is seeking a sharp, detail-oriented individual to join our billing department as a billing specialist where you will have the opportunity to work with attorneys and law firm staff to revise, process, and issue accurate invoices. If you have at least one (1) year of law firm billing experience, enjoy crunching numbers, and thrive in a fast-paced work environment, we would love to hear from you!

Responsibilities

  • Prepare monthly invoices for review by the attorneys
  • Record and maintain client expenses, costs advanced by the firm, reimbursements, and payments
  • Revise and finalize invoices in accordance with attorneys' edits
  • Send invoices and statements to clients through various channels (mail, e-mail, etc.)
  • Communicate with clients to collect on invoices, answer billing questions, resolve billing issues, and establish payment plans
  • Process incoming payments to appropriate accounts and maintain precise financial records
  • Run accounts receivable reports to keep track of past due accounts and follow up on payment
  • Keep track of and enter time spent on activities contemporaneously with performance of the activity
  • Reconcile client accounts in firm's practice management software
  • Collaborate with billing department and attorneys to develop and improve the firm's billing procedures
  • Perform other miscellaneous general office tasks as assigned

Qualifications

  • Minimum of one (1) year working as a billing specialist in a law firm environment
  • High school diploma or equivalent
  • Available to work a full-time schedule in the office
  • Attention to detail and accuracy with superb written, verbal, and organizational skills
  • You provide exceptional customer service
  • Possess superior time management skills and are able to work in a fast-paced environment
  • Proficient working with Microsoft Word and Excel, various computer programs, databases, and software (working knowledge of Quickbooks and/or Actionstep is a huge plus!)
  • You don't think answering the phone, making coffee, or getting clients a beverage is beneath you
  • You must be a positive, high-energy team player who is results-oriented!
  • Bilingual in English and Spanish is a plus!

Compensation

$16 - $23 hourly DOE

Responsibilities for the position include:

  • Preparing initial drafts of Trusts, Petitions, proposed Orders, Declarations, Supplementsin response to Probate Notes, Notices to Government Agencies, Receipts, cover letters, and other documents.
  • Mail-serving notice and
  • Checking Probate
  • Filing documents with the Court, including e-
  • Scheduling court appearances and preparing case files for
  • Communicating with clients, other law firms, trustees, settlement brokers, financial advisors, bond companies, court clerks, and other personnel.
  • Calendaring and maintaining
  • Answering phones, scheduling meetings and conferences calls, handling new client intakes, and assisting with other administrative tasks in the office.

Minimum qualifications are as follows:

  • 1 year of experience working as a paralegal or legal assistant is preferred, but will train the right candidate who has less experience.
  • Paralegal certification or qualify as a paralegal under California Business & Professions Code 6450.
  • Ability to work full-time in the office
  • Computer skills, including proficiency in Microsoft Word and Excel (knowledge of Actionstep is a plus!)

We are a growing, small law firm looking for an experienced Professional Legal Administrator to take us to the next level and beyond. This is an executive level position responsible for a wide range of activities in all phases of administration, personnel, finances, facilities, and business systems.

We need someone with significant hands-on experience. You will handle key administrative responsibilities and play a major role in shaping firm culture.

The successful applicant will have experience managing a team of more than 10 people and should have experience managing a budget of more than $2,500,000. This is not a position for an “Office Manager” or an “Administrative Assistant.”

We have put a lot of energy into building our “A team” and we need to take it to the next level. As you know, the Legal Administrator is a key hire; it is crucial that we get this right! Our process might take a little longer than you're used to…but it's worth it. Responsibilities

This position is responsible for overseeing and improving both our team and our systems.

  • Our Legal Administrator will be responsible for planning and managing the day-to-day operations of the Firm, and for implementing Firm policies and procedures under the general guidance and supervision of the owner.
  • Our Legal Administrator will work in conjunction to help create and integrate the firm's new initiatives.
  • Our Legal Administrator will create or improve all administrative functions in our firm. We are building a firm where systems run the business, and people run the systems.
  • Our firm has been very successful, and we have grown rapidly without the guidance of a Legal Administrator. We are proud of the firm we've built; we've done a lot of good, and we've gotten a lot of stuff right! But there is a lot of room for improvement and expertise. The right person for this position is someone we can develop trust in and who will trust in us. The right person for this position will be able to “manage up” to help us help you get your job done.

Qualifications

We need someone with the experience and maturity to keep the Firm's needs in the forefront and work closely with the Owner and key staff on strategy, policy, problem-solving, and decision-making. Our ideal candidate understands that you cannot manage what you do not measure – and can help us figure out how to build systems to ensure we can measure and manage effectively.

We are looking for a professional who has already worked at an executive level in law firm operations.

You must be able to show evidence of your prior success with:

  • Business process refinement and systems management to ensure profitable operation of the Firm
  • Systems management to ensure matters are handed appropriately so that client needs are met, legal & ethical requirements are met, and clients receive excellent service
  • Employee leadership, performance management, supervision (and termination), other Human Resource functions
  • Understand and use common financial reports to make decisions (budget variance, P&L, Cash Flow forecast)
  • Management of bookkeeper, accountant, technology systems and other vendors

We need a Firm Administrator who is a rockstar of project management and systems development, who will be invested in making important contributions to the operating and financial success of the Firm. Our business grew fast, and while we are not a “start-up,” we have a growth-focused environment.

Knowledge of and trust and estate law, special needs trust planning and/or probate will be helpful but not required. will be helpful but is not required. If you don't know how the estate planning and administration processes work, you need to commit to getting up to speed quickly because you will be expected to make sure cases and clients are getting the attention they need and that the staff is following the rules.

Salary is dependent upon experience and includes an incentive program commensurate with performance. We will define specific KPIs for expected law firm growth, profitability, and culture.

  • Preparing Accountings for Court Supervised and Non-Court Supervised matters in ANY of the following areas:
    • Trust Administration
    • Special Needs Trust Administration
    • Probate
    • Conservatorship Estates
    • Guardianship Estates
  • Preparing a Fiduciary's Report and Account
  • Drafting Petitions and pleadings
  • Filing documents with the Court, including e-filing
  • Preparing Judicial Council Forms
  • Calendaring and preparing files for hearings
  • Mail-Serving documents
  • Scheduling CourtCalls
  • Corresponding with the Court, including clerks of the Court and probate examiners
  • Checking Probate notes and preparing Supplements for the purpose of responding to Probate notes
  • Understanding and knowledge of the California Rules of Court and Local Court Rules for Orange County, Los Angeles County, Riverside County and San Bernardino County
  • Experience with preparing and filing Conservatorship and Probate Petitions, familiarity with government benefits and Action Step, and/or a customer service background are a major plus!
